§1 General Rules
1. This document constitutes the rules of the international interdisciplinary conference of Young Scientists from higher education institutions of the Academic Coordination Centre in the Euroregion Nysa (ACC), which will be held on the dates and at the location designated by the Organizer.
2. The following terms used in these Rules shall be understood as:
a. Organizer: Organizing Committee of the international interdisciplinary conference of Young Scientists of the ACC,
b. Conference: annual international interdisciplinary conference of Young Scientists from higher education institutions of the ACC in the Euroregion Nysa,
c. Applicant: student, doctoral candidate, or researcher registering by submitting the registration form,
d. Participant: student, doctoral candidate, or researcher who take part in Conference. There are two types of participation: – active – the participant presents the submitted presentation topic; – passive – the participant does not present a presentation.
3. The Organizer reserves the right to make changes to the Conference program and regulations.
4. Oral presentations are planned as active participation of the Conference (and posters in case of many participants).
5. The official language of the Conference is English.
6. The Conference is interdisciplinary; however, the Organizer has the right to divide the submitted presentation topics into thematic panels.
7. Payment of the conference fee to the Organizer constitutes acceptance of these Regulations and is binding on both parties.
8. All deadlines contained in these regulations are mandatory and cannot be extended, unless the Organizer decides otherwise.
§2 Application for Participation
1. The Conference is primarily intended for students, doctoral candidates, and academic staff of ACC universities, but does not exclude non-ACC participants.
2. The conditions for participation in the Conference are:
a. electronic submission of a completed application form by the date specified by the Organizer;
b. payment of the conference fee by the deadline specified by the Organizer;
c. sending the presentation by the deadline specified by the Organizer.
3. The Organizer may request that the presentation be changed to a poster format if the number of participants is large.
4. Applicants agree to complete the registration form correctly and accurately.
5. The Organizer is not liable for any damage resulting from incorrect data in the registering form.
6. Co-author presentation must be presented by at least one co-author to receive a certificate confirming active participation in the Conference.
§3 Conference Fee
1. The conference fee is PLN 150 or EUR 35 and covers the costs of:
a. participation in the conference (active participation with a presentation or passive participation without a presentation);
b. conference materials;
c. coffee breaks;
d. lunch;
e. certificate of participation.
2. The conference fee must be paid by the date specified by the Organizer. In the case of non-payment or payment after the mandatory deadline, the Organizer reserves the right to remove the Participant from the Conference participant list without refunding the fee.
3. After payment, the conference fee is not refundable.
4. At the Participant’s request, the Organizer may issue an invoice for participation in the Conference. The invoice details must match the details of the entity paying the conference fee and must be provided to the Organizer electronically via the registration form.
5. The transfer details will be provided after registration.
§4 Conference
1. The conference venue is Jelenia Góra, Kochanowskiego 8 Street (building H of the Wroclaw University of Economics and Business, Branch in Jelenia Góra).
2. The duration of oral presentations is 10 minutes.
3. Discussions will take place during the last session of the conference, after lunch.
4. In emergency situations, the session moderator may slightly shorten or extend the presentation time.
5. Participants are required to send their presentations via email to the Organizer no later than 7 days before the Conference.
6. The Participant is fully responsible for all materials and statements presented during the Conference.
7. Each Participant will receive a certificate confirming their oral presentation or passive participation.
8. Participants are obligated to present their submitted presentation during the Conference. Exceptions to this rule are only possible in exceptional circumstances and after prior consultation with the Organizer.
§5 Final Rules
1. Payment of the Conference fee constitutes acceptance of these regulations and consent to the processing of personal data by the Organizer, in accordance with generally applicable law, and to receiving information about the Conference.
2. Payment of the Conference fee constitutes consent to the use of the Participant’s image (photographs, videos, recordings etc. taken during the Conference) in promotional materials and media publications. The Participant waives all claims (existing and future), including compensation, against the Organizers for the use of their image/ voice/ statements/presentations for the purposes specified in the declaration.
3. The Participant is responsible for the cost of their stay and travel to the Conference.
4. The Organizer reserves the right to cancel or postpone the Conference in the case of circumstances beyond their control.
5. Disputed issues and matters not covered by these regulations will be resolved by the Organizer.
